1. What We Collect

Promptly AI collects only the minimum data required to operate:

• Microsoft account email — obtained via Microsoft sign-in to identify your subscription. Stored locally on your device (browser localStorage) and on our server (Cloudflare Workers KV) to link your subscription.
• License key — stored on our server and locally on your device to verify your subscription status.
• Usage count — the number of API requests made, used for quota tracking and fair-use monitoring.
• IP address / device identifier — used for free-tier daily quota tracking. Stored temporarily (24 hours) and automatically deleted.
• Document content sent for processing — cell values, formulas, sheet structure (Excel), and document text (Word) are sent to our proxy server to fulfill your requests. This data is forwarded to third-party AI providers and is not stored by us after the request completes.

2. Local Storage

The add-in stores the following data in your browser's localStorage (on your device only):

• Your Microsoft account email address (for automatic sign-in)
• Your license key (to avoid re-entering it each session)
• UI preferences (e.g., privacy banner dismissal)

You can clear this data at any time by clearing your browser/Office cache, or by clicking "License Key" in the add-in menu.

3. What We Do NOT Do

• We do not store your spreadsheet or document content on our servers.
• We do not use cookies or third-party tracking scripts.
• We do not sell or share any data with third parties for advertising purposes.
• We do not access any files on your device beyond what you explicitly send through the add-in.

4. Third-Party Services

Your document content is processed by:

• DeepSeek (api.deepseek.com) — for text-based AI tasks.
• OpenAI (api.openai.com) — for image/vision analysis tasks.
• Microsoft Identity Platform — for sign-in authentication only.

These services have their own privacy policies. Data sent to them is used solely to generate responses or authenticate your identity.

5. Data Storage and Retention

• License keys and subscription metadata are stored on Cloudflare Workers KV, a secure edge storage service.
• Free-tier usage records are automatically deleted after 24 hours.
• No document content is persisted on our servers.

6. Data Security

All communication between the add-in and our servers uses HTTPS encryption. API keys for third-party services are stored server-side and are never exposed to the client.

7. Your Rights

You may request deletion of all your data (email, license, usage records) at any time by contacting us. Upon request, all associated records will be permanently removed within 7 days.
